Email Agent Settings

Every lever the agent has, with its default and a plain reason to change it.

Find them under Email Campaigns → Email Agent → Settings. Changes save when you press Save.

The agent needs the built-in email sender

The agent only works on campaigns sent through the built-in email sender. Its timing, warmup, and per-contact delivery times all rely on the platform's own mail accounts. A sender you connected yourself supports none of that, so a campaign on one would quietly do less than promised — and the composer blocks it before you queue it.

Mode

What it does: decides how much the agent does without asking you.

Default: Off.

Approval is all-or-nothing for a day. You approve the whole plan or you skip the day — you cannot approve half of it.

The usual path

Start in Suggest. Read the daily plan each morning. When you have approved a week or two without wanting to change anything, switch to Auto.

Daily Send

What it does: decides which contacts receive the email at the head of the queue.

Engagement tiers

Tick the tiers that should get today's email. Five are available:

Default: Hot, Engaged, and New.

When to change it:

  • Add Unrated if you import contacts often and want them reached sooner.
  • Add Cooling only if your bounce and complaint numbers are healthy. Cooling contacts already have the win-back budget aimed at them.
  • Drop to Hot only for a short while if your deliverability is in trouble.
Dormant and Sunset are not on this list

They are deliberately unavailable here. Those contacts are reached only through the win-back budget, which exists to keep the volume small and controlled. Letting them into the daily send would defeat that.

You must pick at least one tier.

Send in waves

What it does: sends your most engaged contacts first, in their own wave, before everyone else.

Default: On.

When to change it: almost never. Turning it off sends the day's whole audience in one go, which throws away the early engagement that helps your mail reach the inbox.

Win-Back

What it does: decides how much of each day goes to contacts who stopped opening.

The dormant cap cannot be larger than the win-back budget — it is a slice of it.

Warmup

What it does: starts small on a cold or new list and grows the daily volume only while your deliverability stays healthy.

The master switch is Warm up automatically, and it is on by default. The agent decides on its own whether warmup is needed, based on how much real engagement history your account already has.

Readings are taken over the last 72 hours, and the agent will not judge on fewer than about 50 delivered emails. If a gate fails, the volume halves or holds instead of doubling — and it never drops below your first-day volume.

Do not raise the gates to grow faster

The gates exist to stop you damaging your sender reputation. Loosening them does not make your mail more welcome. It just removes the brake.

Send Window

What it does: sets the hours the agent is allowed to send in.

When to change it: match the hours your audience is likely to be at a desk. A business audience does well inside a working day; a consumer audience may do better in the evening.

How timing works today

The send window itself is currently applied in your workspace's timezone. Per-contact timing is handled by send-time optimization below, which delivers each copy at the hour that person usually engages.

Send-Time Optimization

What it does: holds each copy of the email and delivers it at the time that contact usually engages, instead of sending everyone at once.

When to change the window:

  • Keep 24 hours if you want results the same day and a send that still feels like "today".
  • Choose 48 or 72 hours if a lot of your audience only reads on certain days. More room means a better hour for them.

Two things to know:

  • Only the built-in email sender is optimized. Other senders do not support it.
  • The first wave is never held. Your Hot contacts always go out promptly, because their early opens are what carry the rest of the send.
